Background & Team; 

The NCC is growing fast!  Expanding our existing business and developing into new sectors, this is an exciting time to join, and also why we need more dedicated support for our Chief Executive Officer (CEO) and Senior Leadership Team (SLT) 

You’ll report into our Director of Strategy & External Affairs playing a key role as dedicated support for our CEO & CBO.  You’ll also have key relationships with the wider Senior Leadership Team (SLT), our Non-Executive Directors as well as having the opportunity to support engagement with external Governmental departments, customers and Universities. 

About The Role

You’ll ensure the CEO’s and CBO’s time are focused on business priorities through effective planning and calendar management, liaising with internal and external stakeholders, and proactively coordinating key meetings aligned to NCC strategy.

You’ll act as Secretariat for Board and Committee meetings as required, overseeing effective planning, coordination, execution and action tracking.

Ensuring efficient administrative and operational support for the NCC Executive Office, including supporting its function and smooth operation directly.

You’ll also provide on the day and preparation support for senior and or high-impact engagements ensuring the delivery of high-quality experiences and programmes for visitors to the NCC.

Other Executive support duties could include;

  • Efficiently manage the calendars of the CEO and Chief Business Officer, proactively scheduling and coordinating meetings and events.
  • Co-ordinate domestic and international travel and itinerary planning across multiple time zones
  • Prepare reports, memos, letters, minutes and other documents, circulating as required.
  • Handling of sensitive information including confidential documents with utmost discretion and professionalism
  • Maintain a schedule of Senior Leadership team meetings and events, coordinating preparation with on the day support.
  • Organise and prepare for high-level engagements, including circulating documents, action follow up, attending to logistics and catering with on the day support where required.
  • Arrange dinners, social events, and public appearances for the Senior Leadership and External Affairs team.

Secretariat duties could include;

  • Coordinate scheduling board and committee meetings, updating terms of reference and maintaining a calendar of effectiveness reviews.
  • Work closely with NCC COO, NEDs and Business office to schedule and prepare materials for board and committee meetings, including compiling and distributing agendas and papers, minute-taking, and action tracking.
  • Arrange logistics and scheduling of meetings, including venue arrangements, and follow-up.

So, what are we looking for in your application?

We like to see diverse applications from different sectors and cultural backgrounds.  As a minimum to be considered we’ll need evidence of the following in your application;

  • Experience in a similar prior previously providing Executive level support plus the associated secretariat experience.
  • Significant experience of supporting at C-suite level staff
  • Proficient in managing calendars for multiple executives
  • Highly competent with MS office suite
  • Significant experience in a broad range of administrative tasks

In terms of personal skills we’ll be looking for great planning & organisation skills, time management & prioritisation, plus experience working with confidential & sensitive matters.

Desirable (please apply if you have the above!): Experience within manufacturing, government or public sector.  Technically minded with an interest in encouraging the use of new relevant technologies.
